Alternative Kits · KIT 03 — Notion Exit Kit

Leave Notion without breaking your system.

Directories will sell you any notes app as a “Notion alternative”. This kit answers the harder question: which alternative fits the work you actually do in Notion, what breaks when you leave — databases, relations and formulas above all — and what it really costs your team?

⚠ The honest warning: your databases do not move cleanly

Notion’s power is its databases — and relations, rollups, formulas and automations do not export into any alternative intact. Pages and CSVs travel; the living system does not. Notion also keeps your data in its cloud, and its offline access is limited. So before any move: export first, test on a copy, rebuild one real project by hand — and keep the Notion workspace untouched until the new setup proves itself. If your databases are doing real work, the honest answer may be to stay on Notion.

TOOL 01

The picker: one answer, not eight

Four questions about how you actually use Notion. You get one pick, the reason it fits, a runner-up — and, at the top of the result, exactly what breaks.

1. What is Notion really doing for you?
2. Where should your data live?
3. How much do you need offline?
4. What would you pay?

Now run your jobs through the checker below — a good pick can still be a bad move if your main job is the one thing it cannot do.

TOOL 02

Job checker: what breaks when you leave

Tick every Notion feature your workspace actually uses. Each alternative gets a survival score for your setup, with plain notes on what breaks.

Two honest warnings. What breaks: databases, relations and formulas are where every move hurts — a high score everywhere else still means rebuilding your database design by hand. Test on a copy: export your workspace first and trial the winner on the export, never on the live workspace. Nothing here is uploaded — the checker works only from your ticks, in your browser.

TOOL 03

Side by side — filter it your way

Notion against the eight alternatives. Tick the filters that matter to you — a free plan, real offline use, or local-first/open data — and the table keeps only the tools that pass. Prices checked 3 November 2026 — prices change, so check the official page before you pay.

TOOL 04

True-cost calculator

Notion charges per member, so team size is the multiplier. Pick your plan and member count and see the yearly total — billed yearly and billed monthly — against what the alternatives cost.

Notion pricing checked 3 November 2026 on Notion’s official pricing page — prices change, so re-check before you budget. Older pages quoting different Plus prices are outdated. Guests are free and never counted below — enter members only. Enterprise is custom pricing and is not in this calculator.

Notion Plus billed yearly — 5 members$600 / yr
Notion Plus billed monthly — 5 members$720 / yr
Staying on Notion Plus (yearly billing)$600 / yr
Obsidian (app, local files)
App is free; optional Sync is $5/mo per person who needs it — not per workspace member
$0 / yr
Anytype (free tier)
Free tier; paid plans exist — check the official page
$0 / yr
AppFlowy (self-hosted)
Software free; you pay your own server and time instead
$0 / yr
Verdict: billing yearly instead of monthly saves this team $120 a year on Notion Plus. The cheapest route here is Obsidian (app, local files) at $0/yr — $600 a year less than staying. No alternative reproduces Notion’s databases, relations and formulas exactly — part of what you pay Notion for is the system you have already built. If your team lives in that system, the saving has to beat the rebuild.
